Beginning Opportunities Email Template Improvements

The Beginning Opportunities Email isn't really helpful or functional for most clients, as-is. Opportunities are listed by hyperlink only and there could be hundreds opening on the same day. It results in a super long list of URLs without much context.

This template is also turned on by default in all systems and it seems like it confuses or overwhelms clients more than anything else.

I think it'd be more helpful if one or more of the following options were in place (some of these are conflicting, but just brainstorming):

  • List of URLs is divided by opportunity type - apply, automatch, external
  • External opportunties excluded from list (there's nothing to monitor, no action to take)
  • Opportunity Name is listed in addition to URL. {{ portfolio.name }} is not a merge field option on this template. (I did see another enhancement ticket on this request, specifically)
  • Template is turned off (Never) by default -- system admins could enable this message if they happened to be a decentralized university with numerous scopes and admins. Otherwise, the system admins know exactly when opportunities are opening because they're managing them all themselves.
  • Template links to a filtered Opportunities grid (Automatch || Apply-to, Start at: TODAY), rather than listing each URL individually. I don't see a situation where an admin would be clicking 100 individual links open one-by-one.

    Portfolio name is included in the Freezing Opportunities template message, so it would be nice for this to be an available merge field for system admins to apply to the Beginning/Ending Opportunities templates.

    Here's another scenario we should consider for this email:

    The beginning opportunities email only goes out to admins who are scoped to the opportunities. If no admin is scoped to it to receive the email, then we still send it out to the cc and bcc address, but there is no "to-user" in that case so the email will read "Dear , " with no name listed.

    University of Colorado - Colorado Springs (uccs) would also like the email changed. Specifically, adding in the opportunity names.

    UWOSH is also interested in this, with the specifics of adding Upon Approval as a delivery option (certain OA's don't need to see all of them); and creating a separate version for renewals as it's confusing OAs.

    Ellen Vietor at Scholarship Foundation of St. Louis would also like to see this enhancement. She is particularly interested in the "External opportunities excluded from list (there's nothing to monitor, no action to take)" portion of this enhancement.

    Brooke Moore at South Alabama would also like to see this particular enhancement specifically around "Opportunity Name is listed in addition to URL. {{ portfolio.name }} is not a merge field option on this template." In her words "Is there a way to better clarify the email going out below? From an OA perspective I would like to know what the opportunity is - and not just the link to reach it. If it was a hyperlink maybe from the actual name of the opportunity? Just something to provide me with the name and not an opportunity number in a link." Thank you!
