fund swapping
I was speaking to them about the awarding process and wanted to share. It's essentially fund swapping. They have a balance to keep between the amount they can award a student (what they term the eligibility amount for fellowships) and then based on this figure, they go about choosing enough fellowships (opportunities) to satisfy that amount. They also want to be mindful of how much money they have available in the opportunities.
As an applicant, you might be eligible for $35,000 worth of fellowships - this is a determination captured in PeopleSoft. This is the total maximum amount you can be given. Next, they go and seek out the opportunities for which the applicant qualified to make those awards (and they will likely accept on behalf of the applicant in most circumstances).
1. They want to be mindful and always have a running total of the amount offered to the applicant. They can see the discrete amounts in the Encumbered Funds grid as well as the "Applications" tab of the User's account which will help them for now, but they prefer to see a running total while they are actually making the award in the opportunity. So, at the time of offer, they want to know how much has already been given to the student versus his maximum allowance. They need visibility easily into this maximum allowance (which they can likely pull in during the import for the applicant).
2. From more of an opportunity-centric view, they want the ability to see the visibility we used to give - when making the offer, they want to know how much remains from the available balance in that fellowship/opportunity.
3. Once the applicant has reached his maximum potential, they want to be able to ideally take him out of the running from all other opportunities. So, as they are awarding from within an opportunity, they don't want to have to continue to deal with maxed out applicants AND they don't want to have to click to other screens to see whether an applicant has been offered as well as whether that applicant has achieved maximum payout. A mass decline might work here or based on the flag we are implementing to show an applicant has already been offered something from within the context of the opportunity's applications grid, will there be a way to hover over or see readily the total amount offered to that applicant across the system?
4. They want to have a way to always have the available funds on an opportunity updated based on what's really available in the actual fund, i.e., like an API that ties into their accounting system (PeopleSoft) that shows this. Our offer to help mass update opportunities for them will work as an interim solution.
5. Also, this is pie in the sky, but they want a way to create awards in AW based on information in PS. So, if a student has been given something in PS, they want a real time or nightly update to show an offered record for that student in AW.
