Cycle Naming is too Restrictive

This customer defines a "cycle" as an entire academic year. As such, the current naming convention for cycles through the support user is too limiting in that you can only show one year.

 

For example, they'd prefer Academic Year 2017/2018 as opposed to Fall 2017. Even "Academic Year" 2017 would be confusing. They'd like flexibility outside of current feature usage to overwrite or enhance the options available so as to avoid applicant and admin confusion.

    I feel like this could be easily fixed with a drop down box in which you select what you want your cycle name to be, instead of the computer deciding based on a date range.

    Yes, this would be highly requested at UC San Diego, as well. We'd prefer to have the cycle be named after the award period (which we could select), rather than when the application opens. We go by the quarter system, so Fall, Winter, Spring, Summer + year would be our preferred cycle names.

    Similar to the comment from IASTATE, Wisc would like the option to remove the season name from the post-acceptance header. See comments in merged enhancement and below:

    "Our users are letting us know that students are reaching out re: confusion with the header in their Post-Acceptance apps. As you can see in the attached image, the system automatically brings in the Season as part of the application title (whereas the Award Period may or may not be in the In-System Offer). The season means nothing to students and, for most awards, will be different than the Award Period - I think this will continue to confuse students and should be removed (or a setting that users can control)"

    Cycle names confuse the applicants as well as those making the awards. I would rather have the semester/year instead, i.e., "fall 2019" or "spring 2020" and let the system admins have the the option to determine the correct name.

    I would like to be able to name my cycle whatever name I want.  I have scholarships that begin and end on the same days that are for different terms since we are trying out priority deadlines.  Almost all of my scholarships are named Spring 2020 right now even though half of them are for Fall 2020.  The current cycle naming process also causes problems for reviewers since they receive two scholarships with the same cycle name and believe that one of them is a mistake and do not complete the review.

    Please see similar request from UNT in the merged enhancement. They'd like to remove the season name from the in-system offer because it confuses applicants. See description below -

    "We've recently noticed that scholarship recipients see the opportunity season in their in-system offer .This is misleading and confusing for students because the opportunity season will never correspond to the actual award period for any of our scholarships. For example, a "Fall 2018" opportunity is awarding scholarships for our Fall 2019/Spring 2020 award period."

    IASTATE is also interested in this.  They have opportunities that start two years ahead of the post-acceptance application that has the season label that is visible to applicants.  They've tried their cycle naming based on start date and on end date and insist that neither work.  For an opp with a start date in October 2018 and that is labeled Fall 2018, their applicants may not see the PA application until 2019, at which point the admins want either the season label to be removed from the PA altogether, or want the ability to name it "School Year" + of the following year "through" + two years from now.

    Erica Seiffert from Indiana University System has also requested this: "The cycles listed in the Admin view should be more flexible in their naming function. The detail page should have text that allows the OA to choose the term or terms that the award will be made.Currently the cycle is showing based on the month that the opportunity opens and the current or following year, but it may be more helpful for OAs to see that as the awarding period. Options can be given in a drop down box that are able to be setup and edited by the System Admin, just like the Award Period selections in the awarding/offering screens."

    Wesleyan University has also asked for this feature, specifically, they want to be able to say "2017/2018 Academic Year."
